How a Growing Health System Leveraged an Innovative Solution to Reduce Costs and Enhance Change Management

As healthcare organizations grow, so does the complexity of managing operations across facilities, departments and service lines. Expansion often brings new opportunities, but it can also make it more difficult to align priorities, allocate resources and make informed capital investment decisions.

OSF HealthCare was experiencing many of these challenges during a period of significant growth. At the same time, the organization remained committed to investing in the facilities, technology and equipment needed to support high-quality patient care. Leadership recognized an opportunity to improve how capital planning decisions were made. They needed a way to see their data more clearly and establish better processes for decision-making.

To support this growth and maintain exceptional patient care, OSF partnered with Pointcore to develop a strategic solution that could help transform disconnected operational data into actionable intelligence.

Challenge

Like many growing healthcare organizations, OSF was experiencing increased complexity across its operations.

Following the addition of five hospital campuses across five new markets, OSF experienced a 67% increase in assets under management. As the organization grew, so did the challenge of aligning priorities and making informed decisions about future investments. Existing data was spread across multiple systems, creating limited visibility and making it difficult to establish a consistent approach to planning and prioritization.

Leaders needed a better way to evaluate capital needs and align stakeholders around a shared set of priorities. Without a centralized view of operational data, planning efforts often relied on manual processes and disconnected information sources, which led to reactive decision-making.

OSF recognized that existing processes could no longer effectively support the organization’s growth and began looking for a way to evaluate priorities while also enabling smarter long-term planning.

Solution

OSF turned to Pointcore to help address these challenges and create a more connected solution for operational decision-making.

The engagement began with Pointcore’s healthcare-focused PathSeeker Methodology™, an approach built for healthcare with proven success. PathSeeker enabled Pointcore to assess current-state challenges, identify operational priorities and align stakeholders at OSF around a shared vision for improvement.

As the initiative progressed, Pointcore’s Checkpoint Process™ established a structured governance framework that created accountability and provided leaders with a trusted source of truth. By connecting stakeholders to a common set of facts, OSF could reduce emotion and reactive decision-making while building confidence in the data used to guide strategic planning.

With governance in place, Pointcore partnered with TADA to leverage its patented* AI-Enabled Digital Twin technology, which had already demonstrated success helping complex manufacturing organizations improve efficiency and optimize operations through connected data. By combining Pointcore’s decades of healthcare expertise and proven implementation methodologies with TADA’s advanced technology, Perception was developed – Pointcore’s data intelligence solution for healthcare.

Perception works alongside existing systems, connecting operational data across an organization without replacing or disrupting current platforms. By transforming disconnected data into actionable intelligence, Perception gave OSF greater clarity into assets, performance and capital planning priorities, helping leaders prioritize investments with confidence.

Results

The result was a connected view of operations that enabled leaders to move from reactive decision-making to proactive management based on a shared source of truth.

The impact was realized across multiple areas almost immediately. OSF was able to improve efficiency and consistency of its capital planning process, particularly within the Healthcare Technology Management (HTM) division.

Key Outcomes

Improved alignment around capital planning priorities

Greater collaboration across departments and leadership

Reduced reliance on manual processes

More informed, objective decision-making

Enhanced governance and planning capabilities

Improved Capital Planning and Asset Management

Within HTM, leaders gained deeper insight into assets across the enterprise, improving capital planning, forecasting and strategic prioritization. With connected operational data and standardized information across departments, stakeholders were able to make more informed decisions about capital investments while significantly reducing the manual effort previously required to support planning activities.

Enterprise-wide visibility enabled OSF to identify opportunities to standardize equipment, optimize fleet management and improve purchasing strategies across the organization. The platform also improved data quality by helping identify assets that were no longer in service or were missing lifecycle information. Together, these improvements strengthened long-term capital planning, improved data quality and increased confidence in investment decisions.

In the first year, OSF realized:

$3M

Additional funds released

$1.6M

Saved from bulk purchases

200%

Year over year growth in HTM managed capital planning

$200K

Travel labor savings from optimized PM schedules for field services

45%

Reduction of clinical and HTM leadership work hours

These outcomes established a foundation for continued improvement. Following the $3 million in additional funds released during the first year, OSF released another $5 million in Year 2 and projects the potential to release up to $10 million by Year 3.

Stronger Governance and Organizational Alignment

Beyond operational improvements, the initiative helped establish a more consistent and collaborative approach to decision-making across the enterprise.

With access to connected data and shared insights, leaders were able to align around common priorities, improve communication and make decisions with greater confidence. The organization moved away from fragmented information and reactive planning toward a more proactive, data-driven operating model.

Conclusion

What began as an effort to improve capital planning and operational visibility evolved into something much larger. The success of the initiative demonstrated that healthcare organizations already possess valuable data. The challenge is transforming that data into meaningful action.

Today, healthcare organizations can leverage the same approach used at OSF to improve visibility and support strategic decision-making within their own organization. By combining healthcare expertise and advanced technology with data from existing systems, Perception helps leaders uncover new opportunities and turn data into meaningful action.
